Resolution to Approve a Purchase Order to BSB Communications, Inc. for a One Year Support Agreement for the City’s Mitel phone system ($69,317.70) (Sourcewell - Government Pricing)
Memorandum
This memorandum and resolution request approval of a purchase order to BSB Communications, Inc. in the amount of $69,317.70 to purchase a one year support agreement for the City’s Mitel phone system. This purchase will provide the City with support and software upgrades to keep the Mitel phone system operational and up to date.
BSB is recommended as a best source because it is the predecessor of CBTS who originally implemented the City’s Mitel VOIP system. CBTS was the preferred support vendor for the Mitel System and had supported the system since its initial installation. CBTS transferred the City’s account to BSB. All employees of CBTS are now employed by BSB. BSB is also ranked the #1 Mitel Dealer in Michigan and #12 in the US.
Budget/Fiscal Impact: Information Technology has included and budgeted for the cost of the purchase FY 2022.

Whereas, Staying up to date on support and software upgrades for the Mitel phone system is crucial and necessary to keep the Mitel phone system operational for the daily operations and for the safety and security of the employees of the City of Ann Arbor;
Whereas, BSB Communications, Inc is extending pricing for the Mitel Assurance Support through Sourcewell - Government Pricing;
Whereas, BSB is now ranked the #1 Mitel Dealer in Michigan and #12 in the US;
Whereas, Funding for the Mitel phone system annual support is budgeted for and available in the approved FY 2022 Information Technology Fund budget;
Whereas, BSB Communications, Inc. complies with the requirements of the City’s Non-Discrimination and Living Wage ordinances<https://a2central.a2gov.org/resources/Documents/APP%20Documents/APP%20107%20-%20executed%205-10-18.pdf> and
Whereas, The City Administrator recommends that the City Council waive competitive bidding requirements for this purchase as BSB is a best source for servicing the City’s Mitel equipment as it has detailed knowledge of the Mitel system and City configuration;
RESOLVED, That City Council approve a purchase order with BSB Communications, Inc. for the annual support of the Mitel phone system, and related third party components in the amount of $69,317.70 in accordance with the attached quote to be expended without regard to fiscal year; and
RESOLVED, That the City Administrator be authorized to take all necessary actions to implement this resolution.
