Memorandum
The attached resolution seeks approval of City Council in the amount of $65,000.00 on behalf of the Information Technology Services Unit. These funds are needed to maintain Zoom licensing on a monthly basis to support meetings and webinars to conduct City business during social distancing due to the COVID-19 pandemic. Zoom is the communication platform for City Council meetings, Boards and Commissions, and a variety of other community outreach services.

Budget/Fiscal Impact: This purchase is budgeted in FY2022 at a cost of $48,000. It is being requested that an additional $17,000 be appropriated from the FY2022 Information Technology Fund fund-balance to cover the additional cost of Zoom licenses that are anticipated to be needed.

Whereas, The licenses described in the attached quote from Zoom Video Communications, Inc. allow the current number of monthly users to conduct meetings, webinars, and other engagements with the public; and

Whereas, The FY22 Information Technology Fund budget includes $48,000.00 for Zoom Video Communications;

RESOLVED, That City Council approve a purchase order with Zoom Video Communications, Inc. for licensing in an amount of $65,000.00 (in accordance with the attached current monthly quote);

RESOLVED, That City Council appropriate $17,000.00 from the FY2022 Information Technology Fund fund-balance increasing the FY2022 Information Technology operating expenditure budget to cover the anticipated cost of additional necessary Zoom licenses;

RESOLVED, That the amounts authorized herein may be used without regard to fiscal year; and
