Memorandum

Attached for your review and action is a resolution approving an agreement with Aclara Technologies LLC in the amount of $35,400.00 for the AclaraONE annual software support, maintenance and license fees.

 

Aclara Technologies LLC, is the developer of the advanced metering infrastructure communication network used by the City to remotely read water meters.  AclaraONE is the software solution used by utility employees to access and analyze meter data, provide customer care and capture reads for billing.  

 

It is imperative to maintain the support, maintenance and license fee agreement with Aclara Technologies LLC in order to receive applications updates and maintain customer support for the software.

 

In order to maintain service continuity, staff recommends the approval of this agreement for an additional four (4) years, subject to budget appropriations by Council, with the agreed upon 5% price increase per year

 

Budget/Fiscal Impact: Funds for this purchase are available in the approved Water Supply System and Sewage Disposal Operations and Maintenance Budgets.  Future fiscal years are subject to budget approval by City Council.

 

Year 1 of the agreement is $35,400.00, each subsequent year the price will escalate by 5%. A service contingency is also recommended annually for $5,000.00 to provide flexibility for additional as-needed services.

Whereas, Purchase of the annual support, maintenance and software license from Aclara Technologies LLC for AclaraONE is necessary to receive applications updates and maintain customer support;

 

Whereas, Aclara Technologies LLC complies with the requirements of the City’s Non-Discrimination and Living Wage Ordinances;

 

Whereas, Funding for the annual support, maintenance and license fees is available in the Water and Sewage Operations and Maintenance budgets; and

 

Whereas, Funding for future years are subject to annual budget appropriations by City Council;

 

RESOLVED, That City Council approve an annual support, maintenance and license fee agreement for AclaraONE with Aclara Technologies LLC in the amount of $35,400.00;

 

RESOLVED, That City Council approve the extension of this agreement for an additional four years subject to annual budget appropriations, including of a 5% price increase per year;

 

RESOLVED, That a contingency amount of $5,000.00 be established within the annual Water Supply System and Sewage Disposal System Funds per year for additional services required with Aclara Technologies LLC approved by the City Administrator, for a total contract amount not to exceed $40,400.00 in year one of the agreement; and

 

RESOLVED, That the City Administrator be authorized to take the necessary actions to implement this resolution, including approval of additional services within the contingency amount.
