Memorandum
This memorandum and resolution requests approval of a General Services Agreement for as-needed mechanical services with Boone & Darr, Inc. for up to $225,000.00 for fiscal years 2026 through 2028 (FY26-FY28) with the option of one (1) two (2)-year extension.

In May 2025, the City issued a request for proposals to award a contract for as-needed mechanical services for a total not to exceed $225,000.00. The scope of services will include, but is not limited to, the inspection, maintenance, repairs and/or installation of general plumbing, process piping, pumps, valves, and miscellaneous equipment, as well as obtaining corresponding permits as necessary. Examples of potential tasks include replacement of mechanical piping, valves, installation of owner-furnished hydraulic power units, sump pump replacement, water heaters and boiler maintenance and repairs, assistance with preventative maintenance activities, and other mechanical services as determined by the City.

The City received eight (8) proposals. A selection committee from the Water Treatment Services Unit reviewed and scored the proposals. Boone & Darr, Inc. received the highest score from the proposals. It is therefore recommended that City Council approve the General Services Agreement with Boone & Darr, Inc. for as-needed mechanical services for FY26, FY27, and FY28 with the option to renew for FY29 and FY30.

Boone & Darr, Inc. complies with the requirements of the City's Non-Discrimination and Living Wage ordinance.

Budget/Fiscal Impact: These services are to be funded from the approved FY26 Water Supply System, Park Maintenance and Capital Improvements, and General Fund operating and capital budgets, for which services are rendered.
