Resolution to Approve Schedule 35 to the Interagency Agreement for Collaborative Technology and Services for Support Services for the Dell EMC Avamar and Data Domain Backup Environment with Washtenaw County

Memorandum

Attached for your review and approval is a resolution authorizing the approval of Schedule 35. This schedule is effective May 1, 2020, replacing schedules 3 and 17. The agreement governs usage of the shared Dell Avamar and Data Domain backup systems that protect data for the City of Ann Arbor. Washtenaw County maintains support maintenance with Dell EMC to provide protection to this critical infrastructure.

 

Budget/Fiscal Impact: The City’s portion of the support agreement costs for FY20 was $86,015.40 and was planned and budgeted for in the FY20 Information Technology Fund budget. An accounting entry to record (accrue) this cost to FY20 was completed at FY20 fiscal year-end.  The agreement renews automatically on May 1 of each year unless either party gives 30 days’ notice of intention not to renew.  City Staff intends to budget sufficient funds in future fiscal years to pay for the City’s annual share with no more than a 15% increase annually over the previous year’s cost until the end of life of this equipment in FY25.

Whereas, Washtenaw County and the City of Ann Arbor entered into an Interagency Agreement for Collaborative Technology and Services;

 

Whereas, The attached Schedule 35 to the Interagency Agreement for Collaborative Technology and Services for primary backup services is essential to the city operations;

 

Whereas, The City will be invoiced by the County for $86,015.40 and this amount has been budgeted and was recorded (accrued) in the FY20 Information Technology Fund Budget ($86,015.40);

 

Whereas, The agreement renews automatically on May 1 of each year unless either party gives 30 days’ notice of intention not to renew; and

 

Whereas, City staff intends to budget sufficient funds in future fiscal years to pay for the City’s annual share under Schedule 35, with no more than a 15% increase annually over the previous year’s cost;

 

RESOLVED, That City Council approve the attached Schedule 35 to the Interagency Agreement for Collaborative Technology and Services with the City of Ann Arbor as the subscriber and Washtenaw County as provider for backup services;

 

RESOVLED, That the City Council approves the related expenditures as described above in future fiscal years, subject to budget availability;

 

RESOLVED, That the Mayor and City Clerk be authorized and directed to execute said Schedule 35 after approval as to substance by the City Administrator and approval as to form by the City Attorney; and

 

RESOLVED, That the City Administrator be authorized to take all necessary actions to implement this Resolution including execution of any notices of non-renewals, changes, or amendments, that do not exceed the amounts authorized herein.
