Resolution to Approve a Two (2) Year General Services Agreement with Ann Arbor Door Systems, Inc. for Overhead and Roll-up Door Preventative Maintenance, Assessment and Repair, ITB 4765 (Not-to-Exceed $125,000.00)

Attached for your review and approval is a resolution authorizing a two (2) year General Services Agreement with Ann Arbor Door Systems, Inc. to perform overhead and roll-up door preventative maintenance, assessment and repairs not-to-exceed $125,000.00.
The City of Ann Arbor must perform preventative maintenance inspections and as needed repairs to overhead and roll-up doors at various buildings. These facilities have a total of seventy (70) overhead doors with motorized operators and ten (10) roll-up doors with motorized operators. The vendor shall complete one (1) preventive maintenance and condition assessment service within 45 days of contract award and one (1) additional preventive maintenance and condition assessment service during August 2026. The City shall pay for any repair services over and above that of the preventive maintenance service on a time and materials basis as outlined in the attached documents. All maintenance and repairs shall be completed to the manufacturer’s specifications and to the latest federal, state and/or local standards.
The bid was advertised on the City’s Website and on the Michigan Inter-governmental Trade Network (MITN) website. One (1) bid was received and publicly opened on March 19, 2025. Ann Arbor Door Systems, Inc. was determined to be a responsible bidder for preventative maintenance inspections and as needed repairs to overhead and roll-up doors.
Budget/Fiscal Impact: Funds for these services are available in the FY25 operations and maintenance budget(s) of the affected facilities and will be made available in subsequent budgets if approved by Council.
Ann Arbor Door Systems, Inc. complies with the City’s Non-Discrimination and Living Wage ordinances.

Whereas, Overhead and roll-up door maintenance and repairs for Ann Arbor facilities is essential to efficient City operations;
Whereas, A single proposal (ITB 4751) was received by Purchasing on March 19, 2025, and included overhead door maintenance and repair rates;
Whereas, Ann Arbor Door Systems, Inc., was determined to be a responsible bidder for overhead and roll-up door preventative maintenance, assessment and repairs;
Whereas, The term of the proposed contract with Ann Arbor Door Systems, Inc. is for two-years and up to $125,000.00; and
Whereas, Ann Arbor Door Systems, Inc., complies with the City’s Non-Discrimination, Conflict of Interest and Living Wage Ordinances;
RESOLVED, That City Council approve a 2-year General Services Agreement with Ann Arbor Door Systems, Inc., for Overhead and Roll-up Door preventative Maintenance, Assessment and Repair not-to-exceed $125,000.00 and subject to the annual appropriation of funds;
RESOLVED, That the Mayor and City Clerk be authorized and directed to execute said agreement after approval as to substance by the City Administrator and approval as to form by the City Attorney; and
RESOLVED, That the City Administrator be authorized to take necessary administrative actions to implement this resolution.
