Resolution to Approve and Installation of Audio Visual Equipment for City Hall Basement Meeting Space ($31,087.00)
Memorandum
Attached for your review and action is a resolution to pay Clark Construction, the construction manager for the Ann Arbor Municipal Center project, for the purchase and installation of audio visual equipment in the amount of $31,087.00 from I.COMM. Funding for this purchase is included in Community Television Network's Capital Equipment Fund in the approved FY 2011 budget.

The audio visual equipment, which includes a projection screen, display system (video/data projector), video system (laptop interface), audio system, and control system, will be used by staff, public members or board and commission members for presentations, panel discussions and public events in the newly renovated City Hall basement meeting room. The purchase also will facilitate professional CTN public meeting productions when this room is outfitted with video recording capability and public meetings are televised from this space by CTN on its public meeting channel.

In planning for the City Hall Larcom renovation project, the City of Ann Arbor worked with the project architect Quinn Evans Architects to accommodate two new meeting rooms in the basement of City Hall. There are two meeting rooms (24 feet by 18 feet) that are joined by a moveable partition so that the two rooms can function as a larger 24 foot by 36 foot room. There also is a small adjacent video technician room for CTN staff to assist with taping and broadcasting public meetings from one or possibly both rooms.

Quinn Evans utilized a specialty communications and technology sub-consultant, Shen Milsom Wilke, to design the audio and visual equipment needs for the meeting space.

With the city's assistance, Clark Construction Co., the Ann Arbor Municipal Center construction manager, prequalified several firms able to perform the audio and visual work for the entire Ann Arbor Municipal Center construction project, including the City Hall basement meeting room. After receipt of bids, Clark awarded the contract for this work to I.COMM, which specializes in audio visual projects.

I.COMM is the lowest responsible bidder and the bid tabulation for the Larcom basement meeting room work is attached. I.COMM received Human Rights approval on July 31, 2010 and complies with the provisions of the City's living wage ordinance.
