Resolution to Authorize a Sole Source Purchase Order to Bell Equipment Company, of Lake Orion, Michigan, for Fleet Parts (Not to Exceed $80,000.00 Annually)
Memorandum
The proposed resolution authorizes the purchase of truck and equipment replacement parts with related accessories and services in an amount not to exceed $80,000.00 per year from Bell Equipment Company for FY21 and FY22, subject to the availability of funding in FY22.
Bell Equipment Company is the sole area distributor for Elgin, Trackless and Heil parts. The advantages of sole source supply includes reduced inventory requirements and the familiarity that mechanics have to diagnose and repair equipment in a timely manner.

The City currently has five Elgin street sweepers, six Trackless assets, and two front load refuse trucks with Heil bodies. The requested amount for each fiscal year is based on fleet's regular maintenance history for these vehicles.

Budget/Fiscal Impact: Adequate funding for the purchase of truck and equipment parts is included in the approved FY21 Fleet Services Operations and Maintenance Budget. Award of the FY22 purchase order would be subject to the availability of funds.

Bell Equipment Company complies with the requirements of the City's conflict of interest and non-discrimination ordinances.
