Resolution to Approve the Attached Quote with CDW Government, LLC for Additional Microsoft Licenses and Related Service, and Appropriate Associated Funds ($188,529.16) (8 Votes Required)
Memorandum
The attached resolution seeks approval of City Council in the amount of $188,529.16, on behalf of the Information Technology Services Unit. This purchase is needed to procure additional licenses for Microsoft Windows Server and SQL Server. These additional licenses are needed due to hardware procurement for the new permitting and land management application currently being implemented (Energov). We are also expanding our SQL Server licensing because many initiatives have caused a proliferation of both databases and servers. The additional licensing allow us to isolate applications from each other and minimize downtimes due to maintenance.
CDW Government, LLC complies with the City’s non-discrimination and living wage ordinances.
Budget/Fiscal Impact: The Information Technology Service Unit recommends approval of this purchase.

Whereas, The licenses described in the attached quote from CDW Government, LLC will allow the City to run additional copies of Windows Server and SQL Server for a new application implementation while providing better stability and isolation to existing applications;
Whereas, CDW Government, LLC complies with the requirements of the City’s Living Wage and Non-Discrimination ordinances;
Whereas, CDW Government, LLC (“CDW”) is an approved reseller under the Microsoft Enterprise Agreement;
RESOLVED, That City Council approve a purchase order with CDW Government, LLC for Windows Server and SQL Server licenses in an amount of $188,529.16 (in accordance with the attached quote) to be expended in FY2020;
RESOLVED, That City Council appropriate $188,529.16 from the FY2020 Information Technology General Fund to the FY2020 Server Replacement Plus Storage Project Fund for such purchase;
RESOLVED, That the amounts authorized herein may be used without regard to fiscal year; and
RESOLVED, That the City Administrator be authorized to take all necessary actions to implement this resolution regardless of fiscal year, including execution of any authorized renewals and any agreements or amendments that do not exceed the amounts authorized herein, subject to City Attorney review and approval.
