Resolution to Approve the Purchase of Six Utility Bodies from Cannon Truck Equipment ($70,269.00)

Memorandum

The attached resolution authorizes the purchase of six utility bodies from Cannon Truck Equipment that will be mounted on truck cab and chassis that have recently been purchased by the City.  Three of the utility bodies are configured with overhead ladder racks at a price of $12,588.00 each and the other three are configured with pipe storage containers at a price of $10,835.00 each for a total cost of $70,269.00.

 

Three of the utility bodies will be mounted to trucks for use in the Field Operations, Park and Public Space Maintenance Unit.  Two of these three vehicles will also have front snow plows installed.  Truck #6283 will be replaced by truck #6262 at a cost of $23,530.00 (cab/chassis) and $12,588.00 (utility body) for a total vehicle cost of $36,118.00.  Truck #6284 will be replaced by truck #6263 at a cost of $26,275.00 (cab/chassis), $12,588.00 (utility body) and $5,063.00 (snow plow) for a total vehicle cost of $43,926.00.  Truck #6288 will be replaced by truck #6267 at a cost of $26,275.00 (cab/chassis), $12,588.00 (utility body) and $5,063.00 (snow plow) for a total vehicle cost of $43,926.00.

 

Two of the utility bodies will be mounted to trucks for use in the Field Operations, Water Utilities Unit.  One of the two vehicles will also have a front snow plow installed.  Truck #2286 will be replaced by truck #3294 at a cost of $22,616.00 (cab/chassis) and $10,835.00 (utility body) for a total vehicle cost of $33,451.00. Truck #2288 will be replaced by truck #3295 at a cost of $26,654.00 (cab/chassis), $10,835.00 (utility body) and $5,063.00 (snow plow) for a total vehicle cost of $42,552.00. 

 

The remaining utility body will be mounted to a truck for use in the Field Operations, Sewer Utilities Unit.  Truck #2285 will be replaced by truck #2296 at a cost of $26,275.00 (cab/chassis), $10,835.00 (utility body) and $5,063.00 (snow plow) for a total vehicle cost of $42,173.00.

 

Proposals were solicited by the City through ITB #4444.  Six proposals were received and the bid from Cannon Truck Equipment, Shelby Township, MI was the lowest responsible bidder. 

 

The Fleet & Facility Unit has adequate funds for this purchase in their approved FY 2016 operations and maintenance budget. The Water Utility Fund, Sewer Utility Fund and Parks and Recreation Millage Fund have adequate funds in their FY 2017 operations and maintenance budget for this purchase.

 

Cannon Truck Equipment complies with the requirements of the City’s non-discrimination ordinances.

Whereas, The Fleet & Facilities Unit needs to purchase utility bodies to be mounted on truck cab and chassis for the City’s fleet;

 

Whereas, Competitive bids were solicited by the City through ITB #4444 and six bids were received on May 5, 2016;

 

Whereas, Cannon Truck Equipment was the lowest responsible bidder to ITB #4444; and

 

Whereas, Cannon Truck Equipment complies with the requirements of the City’s Non-Discrimination Ordinances;

 

RESOLVED, That City Council approves the issuance of a purchase order to Cannon Truck Equipment in the amount of $70,269.00 for the purchase of six Warner Select II utility bodies;

 

RESOLVED, That funding in the amount of $27,035.00 comes from the FY 2016 Fleet and Facility Unit’s approved budget with the funds to be available without regard to fiscal year;

 

RESOLVED, That funding in the amount of $21,670.00 comes from the FY 2017 Water Utility Fund’s approved budget with the funds to be available without regard to fiscal year;

 

RESOLVED, That funding in the amount of $10,835.00 comes from the FY 2017 Sewer Utility Fund’s approved budget with the funds to be available without regard to fiscal year;

 

RESOLVED, That funding in the amount of $10,729.00 comes from the FY 2017 Park and Recreation Millage Fund’s approved budget with the funds to be available without regard to fiscal year;

 

RESOLVED, That the units being replaced, no. 2285, 2286, 2288, 6283, 6284, 6288, 2440, 2441, 6432, 6469, be sold at the next City vehicle auction after delivery of the new unit; and

 

RESOLVED, That the City Administrator be authorized to take the necessary actions to implement this resolution.
