Resolution to Approve Purchase Order for Annual Maintenance and Support of TRAKiT System with CRW Systems, Inc for FY2013 ($30,000.00) and Retroactively Approve Payment for FY2012 ($27,250.00)

Attached for your review and approval is a resolution to approve a purchase order in the amount not to exceed $30,000 to CRW Systems, Inc. for the renewal of TRAKiT Software annual maintenance and support for FY2013 and retroactively approve a $27,250 payment to CRW Systems, Inc. for FY2012 TRAKiT Software annual maintenance and support costs, expended by the City in FY2012, which was inadvertently paid prior to Council approval.
TRAKiT allows the city personnel to utilize a fully integrated and automated system for the entire land development process from initial concept through post occupancy compliance. TRAKiT features a variety of workflow processes that assist in tracking applications for permits for projects and individual permits, reviews by the various Service Units (Engineering, System Planning etc.) and related approval processes. TRAKiT Software also keeps a transaction history for all procedures that happen within any of the Building and Development permitting processes, providing an audit trail.
It is imperative to maintain the maintenance and support agreement with CRW Systems, Inc. in order to receive periodic product updates and maintain technical support for the software.
FY2012's annual maintenance and support for CRW Systems, Inc.'s TRAKiT System was budgeted for and paid by the FY2012 Information Technology Services Unit budget. Funding for the FY2013 annual maintenance and support for CRW Systems, Inc.'s TRAKiT System is budgeted for and available in the FY2013 Information Technology Services Unit budget.
CRW Systems received Human Rights and Living Wage approvals on December 20, 2012.

Whereas, Renewing annual maintenance and support with CRW Systems, Inc. for the TRAKiT System is necessary to receive application updates and maintain technical support;
Whereas, CRW Systems, Inc. received Human Rights and Living Wage compliance approval on December 20, 2012;
Whereas, Funding for the FY2013 annual maintenance and support for CRW System Inc.'s TRAKiT System is budgeted for and available in the FY2013 Information Technology Services Unit budget; and
Whereas, Funding for the FY2012 annual maintenance and support for CRW System Inc.'s TRAKiT System was budgeted for and paid by the FY2012 Information Technology Services Unit budget;
RESOLVED, That City Council approve a purchase order to CRW Systems, Inc. for the renewal of the maintenance and support agreement TRAKiT System for FY2013 in the amount of $30,000.00;
RESOLVED, That City Council retroactively approve the FY2012 payment made to CRW Systems, Inc. for maintenance and support for the TRAKiT System for FY2012 in the amount of $27,250.00; and
RESOLVED, That the City Administrator be authorized to take all necessary actions to implement this Resolution regardless of Fiscal Year.
